Write down the destination and required record
Obtain the receiving office's written list: country or territory, purpose, exact document, recent-issue requirement, original/certified version, language and delivery format. An apostille certifies the signature, capacity and seal, not the document's truth, educational accreditation or legal effect. Check the Convention status table for entry into force between origin and destination, territorial coverage and objections. Some documents need no authentication under a waiver; diplomatic/consular documents and certain commercial/customs administrative documents have separate Convention exclusions. For a valid Convention route do not automatically add embassy legalization. For other destinations establish the authentication and any federal/consular sequence with the destination authority. Choose Mississippi, another state or the federal authority
Mississippi SOS handles original documents bearing a Mississippi public official's signature or a Mississippi notarial act. A Mississippi resident's Alabama birth certificate stays on the Alabama issuer route. A private document notarized by a Florida notary follows Florida authentication even if its signer lives in Mississippi. An incoming foreign-issued record generally obtains its apostille in its country of origin for use here; Mississippi does not replace that certificate. FBI reports and other federal documents follow the federal authority, with special federal issuer exceptions; use the State Department preparation and request links. Do not notarize an FBI PDF or attach a private cover sheet to make it a Mississippi public record. [MS-01: opening and item 4; US-01: federal/state documents; US-02; HCCH-01: Arts.1,3.]

Order a certified birth record with the right eligibility evidence
Use MSDH's linked Form 522, revision February 2026, not a hospital souvenir, genealogy plain-paper copy or photocopy notarized by a neighborhood notary. Complete record/parent/place/date information, purpose, relationship, signature and mailing address even for another delivery method. Eligible applicants include the adult registrant, listed parents subject to parental-rights limits, specified relatives, legal guardian/representative with proof, authorized adoption agencies, or a court-authorized person. Enclose a copy of accepted photo ID such as a passport or driver license; the form's second page permits two listed alternative IDs. Check both pages if using an alternative. Explain name changes. The form cites Miss. Code sections 41-57-2 and 41-57-27; this guide reports the issuer's access instructions rather than a full legal review. [MS-04; MS-10: pp.1-2; MS-03: eligibility.]

Order death, marriage and divorce records from the correct office
MSDH death and marriage ordering pages link their signed applications and require ID plus relationship or legal-interest evidence; the February 2026 marriage Form 502 also requires proof of relationship for parents and listed relatives. Death Form 523 requires proof for listed relatives and includes the named informant and funeral home on record as eligible categories. Guardians and representatives include the applicable proof. Read each form’s second-page eligibility list. Birth/death state holdings begin November 1912. Marriage state holdings cover January 1926-June 1938 and January 1942 onward; use the issuing county Circuit Clerk for July 1938-December 1941 or missing county records. Check whether the recipient wants the MSDH statistical marriage record or the clerk's certified marriage record. MSDH does not issue divorce decrees: order the certified decree from the Chancery Clerk where granted. Its $17 five-year index search only locates the county/book/page and is not the decree. Other judgments/orders come from the court clerk holding the case: give parties, case number, order/date, number of certified paper copies, foreign-use purpose and return instructions; request the clerk's certification, not an uncertified docket printout. Clerk fees and restricted/sealed access depend on the court; use the official directory linked by MSDH and obtain that office's copy/certification charges before payment. Pay MSDH separately and choose record delivery
One birth, death or marriage record costs $17; additional copies of that same record ordered together cost $6 each. By mail use cashier's check or bank/postal money order payable to Mississippi Vital Records; personal checks and cash are not accepted by mail. Mail the signed application, identification and supporting eligibility evidence to Mississippi Vital Records, P.O. Box 1700, Jackson MS 39215-1700. Marriage instructions also require a self-addressed stamped legal-size envelope. For counter ordering use 222 Marketridge Drive, Ridgeland MS 39157, Monday-Friday 8 a.m.–4 p.m., excluding state holidays; it is a record office, not the SOS apostille office. The FAQ says a birth record can issue that day unless a search is needed; the marriage page says counter orders are mailed within 7-10 business days. The older death page/FAQ likewise says death orders are mailed, but February 2026 Form 523 says death records from 2020 onward are available same day at the counter and pre-2020 records are mailed. Follow that newer form distinction and confirm availability if planning a trip. Standard orders have a published 7-10-business-day processing estimate; FAQ online/telephone UPS options quote 3-5 business days plus service/delivery charges. Check apostille-specific handling before choosing a vendor option. These are procurement estimates, not SOS or arrival promises. [MS-03; MS-04; MS-08; MS-09; MS-10: p.2; MS-11; MS-15: p.2.]

Use the MSDH apostille forwarding option carefully
MSDH's foreign-government answer says to include a separate $5 cashier's check or money order payable to MS Secretary of State when requesting a birth, death or marriage record. Identify the destination, foreign-use purpose and requested apostille/authentication; include completed SOS Form 11 and a clear return plan as practical packet preparation. Keep the MSDH record fee and SOS fee separate. The FAQ does not fully spell out matching, courier return or split-arrival handling; resolve those with MSDH at 601-206-8200 before using a complex or international forwarding arrangement. The fully documented alternative is to receive the certified record yourself, then send the complete SOS packet. Do not pay SOS a second time if MSDH already forwarded your payment. [MS-03: foreign-government question; MS-02: country/return fields. Form 11 inclusion and order-reference retention are practical guidance.]

Obtain issuer-certified corporate records
From SOS Order Documents, sign in to the official business portal, select Order Documents, identify the company and choose a Certificate of Fact, Good Standing/Existence or certified copy of the specific filing the recipient needs. Most are available after payment. A free search printout is not the selected certified product. The public ordering page does not establish a universal procurement fee or promise that every downloaded/printed output is accepted for apostille. Review the selected product's actual fee before ordering and ask Business Services 601-359-1633 about unavailable records; obtain SOS confirmation of a paper certification bearing an authenticatable official signature if using electronic output. Then submit the issuer-certified document with Form 11 and $5 per document. An operating agreement, board resolution or private company letter is a different signature/notarial route; it is not a state-filed certified record. [MS-07; MS-01: original/signature requirements.]

Arrange educational records with the issuing school
Request an official transcript or diploma prepared for apostille through the registrar/records office. Ask for its authorized official's signature with proper Mississippi notarization when that is the school's route, rather than notarizing a student's photocopy without checking the recipient's requirement. Mississippi Christian University publishes a concrete route: order the reprinted diploma, email graduation@mc.edu identifying apostille use, then send Form 11 and the $5 check/money order payable to Secretary of State to the university, not separately to SOS. The university receives the diploma from Parchment, notarizes it and sends one matched package to SOS. Its listed campus address is 200 S.Capitol Street, Clinton MS 39056; confirm the registrar addressing/return arrangement before sending originals. Follow another school's own registrar instructions and fees; the MC procedure is not a statewide procurement rule. [MS-06: Ordering a Diploma, steps 1-6 and address warning; MS-01.]

Prepare a private document and its notarial certificate
For a power of attorney, consent, affidavit, private company authorization or translator statement, establish the required act and certificate wording before the notary appointment. Complete blanks as appropriate, bring acceptable identification and appear as required for that act; an acknowledgment and a sworn affidavit are different acts. Have the commissioned notary complete the appropriate certificate with venue, date, signer, notary signature and required seal/commission particulars. A stamp alone is not a substitute for a completed act. Use SOS Notaries FAQs and the current rules linked from the official notary hub for notary questions. SOS specifically warns that a notary outside the issuing government agency may not certify/authenticate copies of official government records, including vital records, licenses, passports and Social Security cards. Do not substitute a notarized cover or custodian statement for the issuer's certification. [MS-01: item 4; MS-13. Certificate preparation is practical guidance, not a new prescribed state form.]

Fill Form 11 and calculate the state fee
Download the form from the official SOS page; the currently linked one-page Form 11 footer says Revised 10/08. That revision is distinct from this guide's October 26,2026 source check. Type or print the requester name, return address, country, Apostille or Authentication choice and daytime phone. State how many originals are included and identify them in a cover inventory. SOS charges $5 per document; pay by check or money order to Secretary of State. Example: three separately submitted documents need $15 in SOS fees, plus any record procurement, notarization, translations and shipping. The form uses the phrase each copy, while the page says per document; do not assume one fee covers several independent records or multiple destination outputs. Confirm an unusual multi-signature packet with the Notary Division before payment. No state card-payment or rush-fee option was verified. [MS-01: fee/items 1-3; MS-02: p.1.]

Separate postal and courier addresses
For USPS mail, the form gives Secretary of State, P.O. Box 136, Jackson MS 39205-0136, Attention: Notary/Apostille/Authentication. Include original notarized documents or original issuer-certified records, Form 11, correct payment, contact/inventory note and your return materials. For the physical express address the SOS page specifies Secretary of State,660 North Street, Jackson MS 39202, Attention: Notary/Apostille/Authentication; its delivery instructions expressly discuss Federal Express/UPS. A courier cannot deliver to the postal box. No current counter hours, appointment requirement, same-day completion or expedited-processing promise was verified on the apostille page/form. Use the postal route without a visit, or confirm counter availability, appointment and pickup rules at 601-359-1615 before travel. Do not treat the express street address as a documented walk-in appointment. [MS-01: items 5-6; MS-02: p.1.]

Arrange the return before sending originals
For FedEx/UPS return, SOS says the outgoing packet must contain an additional prepaid, completed FedEx/UPS return envelope addressed to the desired destination. Without it SOS says it returns by regular mail. Make the carrier label and envelope usable and keep a copy of the tracking number; an account number or a request to bill later is not the specified prepaid return envelope. Form 11's return address must match the intended recipient. For international return, verify that the selected carrier supports the actual destination and billing, that SOS can use your supplied materials and whether a domestic receiving address is needed. No universal international-carrier or DHL acceptance is established here. For regular mail, provide a fully addressed postage-paid protective envelope as practical preparation and confirm any unusual postage/size with SOS. [MS-01: item 5; MS-02: return fields.]

Budget separate stages and inspect the result
Allow for record procurement, any registrar/notary/court correction, outbound transit, SOS processing and return transit. The checked SOS page/form does not state a numerical processing estimate; obtain a current queue estimate from the Notary Division for a deadline. Overnight carriage buys a transport service, not guaranteed state processing. Retain copies of requests, receipts and tracking. On return check document names, destination/request type and attached certificate for consistency before forwarding. Keep the entire attachment intact; scan carefully without removing pages or stamps. No Mississippi online apostille register or e-Apostille service was verified; seek certificate/register verification through the issuing SOS office under Convention Article 7 when needed. A scan-back, electronic notarization and an e-Apostille are different outputs. [MS-01; MS-02; HCCH-01: Arts.4,7. Stage planning/inspection are practical guidance.]

Recover from a defect without altering the issued packet
Keep the written return/rejection reason, case/reference number, named office and stated correction. For an unsuitable vital record, order the correct issuer-certified version; for an absent or wrong clerk certification, return to that court; for a defective notarial certificate, ask the original notary about lawful correction or a new act. Never fill, restamp, detach or swap pages in a completed notarized/apostilled record yourself. For a rejected payment, repair payee/amount/method and ask SOS whether a fresh fee is due before resubmitting. For a recipient refusal, obtain its written reason and escalation office, then check whether the issue is authenticity, record version, translation or substantive acceptance. An apostille does not settle those other requirements. For lost MSDH mail, its February 2026 birth, marriage and death forms say nonreceipt/address correction within 3 months, while the web instructions give longer windows (birth/marriage pages say 6 months): act promptly within the shorter window and confirm the discrepancy with MSDH; the new forms say allow 4 weeks after mailing before inquiry or 7 days for special courier, while the marriage web page says 3 weeks. Use the new form’s 4-week inquiry guidance and act within 3 months. [MS-10: p.2; MS-14: p.2; MS-15: p.2; MS-04; MS-11: Failure to Receive; MS-01; HCCH-01: Art.5. Worked case: a birth record and a private authorization
An eligible adult needs one Mississippi birth record and a separately notarized private authorization for a destination where the Convention applies with the United States. Order the birth record for $17 from MSDH with ID and the signed application; do not notarize the certificate. Complete the authorization's required Mississippi notarial act separately. Direct submission of both prepared documents costs 2×$5=$10 to SOS, so known government charges total$27, plus notary, translation and postage costs. If using MSDH forwarding instead, send its $17 record payment and separate $5 SOS payment there, and send the authorization separately with its own $5 SOS fee; plan two return arrangements and do not duplicate a fee. If the authorization is actually notarized in Florida, the Mississippi fee applies only to the Mississippi record and the authorization needs the Florida route. The example does not establish recipient approval or a shipping price. [MS-01; MS-02; MS-03; MS-04; US-01.]

Free DIY and optional managed logistics
This guide and official instructions are free to use; government, issuer, notary and carrier charges still apply. You can procure and submit your own documents without contacting Notary Geek. Greg's attributed Notary Geek operating guidance in the maintained repository says most physical state routes use tracked transport both ways, while a runner is useful only where the actual office route and scope support it. It does not establish a Mississippi runner, a shorter queue or an offered fixed-price service. A managed service can add document review, matched procurement/submission, return-label preparation, receiving/scan-back and international dispatch when specifically agreed. A free or low-cost bank/workplace/local notary can execute a verified act; the notary does not choose the foreign legal strategy. Separate those practical services from the state's $5 certificate and require an agreed scope/price; no guarantee follows. [MS-01; attribution: README.md, preserved shipping/logistics and Local Notary Competence Boundary guidance; operating guidance, not an SOS rule.]

Optional document review is available only within an agreed paid managed-service scope. This free guide does not include personal DIY consulting.
Optional help after you choose the document process
You can use the official process without hiring Notary Geek. For a simple wet-ink signature, compare your bank or credit union, workplace, neighborhood notary, shipping store or mobile notary. Confirm the fee and the correct notarial act before signing. A notary cannot turn a private photocopy into the issuing office's certified record.
If physical shipping from abroad is the obstacle, separate document preparation, state submission, state return, scan-back and international shipment. A scan is not the physical apostille packet. Any receiving, label, shipping, review or full handled service needs its own agreed scope and price; this guide does not promise those services for every document or a faster state queue.
